Position Summary
This role executes the annual marketing plan to boost brand awareness, recruitment, volunteer engagement, and revenue. The Coordinator leads creative design for all agency initiatives, maintains the website, and provides editing and proofing support for all major agency messaging (media, social media, newsletters, collateral). The ideal candidate is positive, highly organized, detail-oriented, self-motivated, and thrives in a fast-paced, collaborative environment.
Education: Bachelor’s degree in Graphic Design, Marketing, or Communications preferred.
Experience: Minimum 2 years of graphic design, marketing, website or social media experience. Non-profit experience is a plus.
Core Competencies & Skills
- Design Software Proficiency: Expertise in Adobe Creative Suite (InDesign, etc.) and Microsoft Office (Publisher, Word, Excel, PowerPoint). Familiarity with Canva and Constant Contact is a plus.
- Digital Marketing: Experience with digital campaigns, content creation, social media platforms, and traffic analysis.
- Visual Content: Ability to design large format print (billboards, banners), create interactive presentations, and produce high-quality photography/video content (reels).
- Web & Communications: Excellent proofreading skills. Comfort level with writing and editing. Ability to maintain website copy and visuals and met a regular schedule of e-communication.
- Soft Skills: Excellent cross-departmental and vendor communication, strong planning/prioritization skills, and a proven ability to meet weekly deadlines.
Key Responsibilities
- Design & Branding
- Develop all agency marketing, advertising, and partnership materials, including but not limited to reports, brochures and rack cards, signage, electronic ads, event invitations and programs.
- Create and enforce agency branding standards across all print and electronic materials, ensuring compliance with national brand guidelines (BBBSA).
- Manage the agency’s photo library and digital assets.
- Marketing & Communications
- Design, proofread, and edit all external and internal communications, including e-Campaigns, e-Newsletters, event invitations, and program and fund development updates.
- Track all marketing projects using the internal management system.
- Website & Social Media
- Maintain the agency website (copy updates, formatting) to ensure a user-friendly experience and adherence to national guidelines.
- Plan, create, and schedule all agency social media posts (including video reels/stories) to support agency goals (recruitment, events, funding).
- Monitor and report monthly metrics for website, social media, podcast, and email marketing; recommend improvements.
- Planning & Coordination
- Coordinate external printing projects and marketing material distribution.
- Collaborate with cross-functional teams to create, update, and maintain an agency-wide communications calendar.

After-hours Availability
Each year the agency holds several events that typically fall outside normal office hours. These events may be mandatory for all staff. For scheduling purposes, you will be notified of the dates as early as possible. These events may include but are not limited to the following:
- Bowl for Kid’s Sake; occasional weekday evenings; late winter/spring
- Art of Pairing; a Saturday evening in May
- Golf Classic; a Monday weekday/evening in August
- BIG Gala; a Saturday in November
- Holiday Celebration in December
As an employee of the Big Brothers Big Sisters team, you may be required to attend other agency-related activities, meetings and events as deemed necessary.
Travel
The employee must have a valid driver’s license and the ability to travel within the community we serve with full-time access to an automobile and automobile insurance as required by the state of Wisconsin.
Physical Demands
Performing the essential responsibilities of this job, the employee is regularly required to sit, operate computers and other office equipment, complete filing tasks and use written and oral communication skills. The employee may be required to transport or move up to 20 pounds. The physical demands at BBBS are representative of those that must be met by an employee to successfully perform the essential functions of this job. The starting pay range for this position is $42,000-$45,000 based on experience and qualifications. Benefits include health insurance, 401K (match after 1 year, vested at 2 years), flexible schedule with 1 remote day/week after nesting period, PTO, holiday pay, parking subsidy.
