GENERAL SUMMARY
Provide administrative support to the AAAAI Executive Director, Senior Administrative Manager and the AAAAI Leadership. Ideal candidate will have impeccable communication skills, a high attention to detail, is organized and adaptable to changing needs.
POSITION RESPONSIBILITIES
- Support the Executive Director, Senior Administrative Manager and volunteer leadership through assisting with the coordination of, but not limited to, the creation of reports, agendas, minutes, timelines, action plans, correspondence and other presentation materials for the Board of Directors and Executive Committee meetings;
- Coordinate and host (if needed) the scheduling of conference calls and Zoom meetings;
- Maintain accurate email, electronic and paper files, including in-office inventory of supplies;
- Coordinate receipt and approval process for endorsed and supported meeting requests;
- Schedule appointments and travel arrangements for the Board of Directors;
- Communicate with related organizations, vendors, and various committee and members of the Board of Directors as needed;
- Work with internal departments (IS, TS, CS, Mail, Accounting, etc.) as needed for AAAAI projects;
- Other related responsibilities as assigned.
AMOUNT OF TRAVEL REQUIRED:
Up to 2 weeks per year. Some early morning/evening and weekend work may be required.
EDUCATION/EXPERIENCE REQUIRED:
Bachelor’s degree preferred. Proficient in Windows, MS Word and MS Excel. Experience with MS PowerPoint, and iMIS and/or MS Access a plus. Oral, written, organizational and proofreading skills essential.
PHYSICAL REQUIREMENTS: (example – lifting, packaging, etc.) Occasional lifting of up to 50 pounds may be required.
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office are a requirement of the role.
