REPORTS TO: Senior Program Manager

DIRECT REPORTS: None

STATUS: Exempt (Minimum of 37.5 hours/week)

GENERAL SUMMARY

The Society for Immunotherapy of Cancer (SITC) is a non-profit medical professional society of influential scientists, academicians, researchers, clinicians, government representatives, and industry leaders from around the world dedicated to improving cancer patient outcomes by advancing the science and application of cancer immunotherapy. Reporting to the Senior Program Manager and serving as an integral member of the Education Department, the Project Manager will assist the society through project management of education activities with an emphasis on the Annual Meeting & Pre-Conference Programs and Interim Workshops. Primary responsibilities include development of printed programs, management of the conference mobile app, management of the production process for onsite signage, and program planning support for education programs. The Project Manager will also be responsible for supporting other projects and staff of the Education department and may be called upon to support other society departments for new projects or existing programs as needed.

POSITION RESPONSIBILITIES

  • Manage the production of the projects to support the society Annual Meeting and Pre-Conference Programs, such as final programs, conference mobile app and signs
  • Support the educational planning efforts for Pre-Conference Programs and interim workshops, including helping with creating agendas and materials, drafting minutes and assisting with follow-up activities from planning teleconferences
  • Assist in the preparation and updating of information in the speaker management system when needed for the Pre-Conference Programs as well as other educational programming
  • Assist with the updating of educational program information as needed including on the website, and internal documents
  • Assist with communication to  Pre-Conference Program faculty and collection of speaker items
  • Provide support to the Annual Meeting staff as needed regarding faculty communication, documentation collection, responding to abstract and general inquiries, and abstract management
  • Under the guidance of the Senior Program Manager, maintain and abide by overall policies, procedures, and timelines for live educational programs in areas of responsibility
  • Serve as a source for education inquiries by assisting with fielding general education calls as needed
  • Provide support to the Education Department as needed and provide administrative support for other SITC educational offerings as needed
  • Work with designated staff and departments to develop and manage other short-term and long-term special projects as they arise. Includes setting appropriate timelines and deadlines, collecting needed information, monitoring results and reporting to appropriate staff of status
  • Other duties as assigned

Education/Experience Required

Qualifications – Excellent organizational, verbal and written communication skills required. Knowledge of mobile app development a plus. Word processing and spreadsheet skills in MS Office environment essential. Professional and positive demeanor and attention to detail necessary, including the ability to manage multiple projects simultaneously. Must be a team player and practice good time management. Familiarity with using databases for tracking and reporting, web-meeting services and learning management systems technologies a plus.

Education – Bachelor’s Degree preferred.

Experience – 2-5 years of experience required. Previous association management experience, previous meeting management experience and familiarity with nonprofit boards of directors a plus.

OTHER REQUIREMENTS

Some evening and weekend work as needed

Occasional lifting, up to 50 pounds

*This position is located in downtown Milwaukee, WI and dedicated weekly days in the office are a requirement of the role.
