Job Purpose:

Ensure families in the ARPA Lead Hazard Reduction Program understand program expectations and requirements by coordinating an initial home visit, and manage all relocation needs for families. Ensure all project readiness and relocation plans are coordinated and processed accurately in a timely fashion.  Plan, coordinate and conduct community outreach and work with community partners to increase lead poisoning prevention awareness.

Essential Duties:

  • Coordinate in-person home visits for families to educate about Lead Poisoning, discuss program requirements, process, and expectations.
  • Manage project readiness, relocation coordination and project closure.
  • Coordinate and recruit relocation vendors to ensure families have different options and meet program relocation budget cost.
  • Maintain a tracking log, review cost and set-up new agreements yearly.
  • Provide excellent customer service and manage relocation schedules with internal and external partners and customers.
  • Work closely with Field Supervisor and Program Coordinator to prepare relocation needs for families receiving the program while ensuring project files are checked for quality and compliance with program requirements.
  • Manage project closure documentation requirements. Communicate daily, prepare status reports.
  • Prepare and serve all relocation related correspondence, handouts, notices, or related information to families enrolled.
  • Administration of all relocation and community outreach in program Database: Monitor program system database, Updating daily with per job case notes, reserve funds and invoicing for timely reimbursement.
  • Customer Service: Respond to customer’s with questions, comments, concerns or complaints with a purpose to a resolution.
  • Maintain Record of Initial Home Visit Completed, Relocation Agreements and Project Closure.  Prepare monthly, quarterly and annual reports for status of projects and outcomes
  • Process Invoices: Ensure relocation vendors are returning proper documentation along with invoices in order to receive payment within allotted timeframe.
  • Maintain E-Logs: Create and monitor spreadsheets for program to track relocation vendor costs.
  • Monthly Reporting: Collaborate with Accounting departing regularly when submitting invoices.
  • Collaborate with Program Coordinator, Field Supervisor on strategies to meet monthly goals.
  • Coordinate the preparation of the closeout report for property owners, update database and files.
  • Work with SDC Quality Assurance Coordinator to capture Customer Satisfaction Surveys.
  • Other duties as assigned.

Skills/qualifications:

  • Must be fluent in Spanish and English.

Must have knowledge of family engagement strategies

  • Must have strong background in Customer Service and administrative office skills.
  • Must have the ability to maintain filing systems and proficient typing speed of 40 wpm minimum.
  • Must be experienced in Excel, Word, Power point, and Outlook.
  • Valid Wisconsin driver’s license with acceptable driving record, use of an automobile and current auto insurance.

Experience/Education/Training/Certifications:

  • Minimum of a High School Diploma
  • Two years of professional experience working in community outreach or home visiting is preferred or related field and three years of successful experience of solid customer service, vendor management, and costing/invoicing & reporting.
  • OR any equivalent combinations of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
  • Experience with building relationships with customers within the community and developing collaborative partnerships.
