Job Purpose:

Under the supervision of the Program Manager, the Program Coordinator is responsible for meeting or exceeding program objectives through; participant enrollment by confirming eligibility, retention case management, records management, assisting students in achieving unsubsidized work, retention activities that sustains or connects students to employment and sustaining healthy relationships with potential and new employers.

Essential Duties:

  • Manages the daily activities associated with the Youth Build & Absolute Advantage Program.
  • Responsible for recruiting and case managing eligible participants into subsidy program.
  • Performs data entry into all systems related to the program or agency for data tracking and performance.
  • Responsible for reporting program activities and success stories to program manager monthly via email.
  • Provide on-site career counseling (job coaching) and perform follow-up and retention activities with participants during all program phases (subsidized and unsubsidized placement and retention).
  • Facilitate participant enrollment, ensuring all supporting documents are available and all required documents are in case file for program compliance.
  • Work with case managers to assess and implement enrollment and retention strategies which will enhance participant success, address abilities and barriers to connect participants to appropriate programming and resources.
  • Manages files and case comments of; program activities, job search progress and contact logs with participants.
  • Assist participants to develop and/or create resumes, employment plans and educational paths needed to move successfully toward education and/ or unsubsidized employment and retention.
  • Responsible for writing letters of acceptance for program participation and other correspondence.
  • Act as a point person between Job Center partners and other program personnel to coordinate the distribution of available resources and employment information as it relates to your program.
  • Assist with identifying and resolving participant needs, requests, special issues, and complaints; communicate concerns to program manager.
  • Coordinate/ facilitate presentations, on-site recruitments events, career path sessions and special employment events with or without program manager.
  • Attend meetings, conferences and workshops as assigned.
  • Performs special projects and other related duties as assigned.

Skills/ Qualifications:

  • Ability to work in a team setting to create an integrative approach which alleviates barriers to employment to enhance participant’s success for program completion and sustainability.
  • Ability to write professionally written letters, emails and resumes for business related use and participant support.
  • Demonstrated ability to monitor/document participant progress, communicate progress to leadership and other staff, develop community support and linkages, and demonstrated general knowledge of public assistance programs policies.
  • Must possess strong written and oral communication skills and the ability to meet project performance goals.
  • Maintain confidential information and documents of all participants.
  • Must possess awareness, knowledge and sensitivity to socioeconomic and cultural diverse backgrounds of the targeted populations served.
  • Ability to work in a demanding, fast-paced environment with respect and diplomacy.
  • Demonstrated working knowledge of and experience using computer programs such as Microsoft Office (Windows10), including Word, Excel, PowerPoint, and Outlook, etc.
  • Ability to type a minimum of 35 WPM.
  • Ability to maintain professional relationships with businesses, partners, vendors, participants, and guests.
  • Must have a car; possess a valid Wisconsin driver’s license and adequate auto liability insurance.


  • Minimum of a Bachelor Degree in Human Services, Social Service or Criminal Justice preferred.
  • At least three years of work experience in a combination of the following: Human Services, Workforce Development, Social Services, Case Management, Construction and Customer Service.
  • Experience with MIS system preferred.
