Position Summary

Job Responsibilities

  • Under the supervision of the Director of Special Events, support the planning and implementation of the special events fundraising programs of the Wisconsin Humane Society, with primary focus on the Milwaukee, Ozaukee and Racine communities.
    • Design engagement strategies to build awareness, attendance and support of all WHS fundraising events.
    • Actively participate in the sponsorship solicitation process, working closely with the major gifts team.
    • Budget, report and manage event financials, revenue and expense, attendance and timelines.
    • Actively utilize and manage a committee of high performing volunteers to accomplish goals.
    • Serve as point of contact for Pet Walks, including committee stewardship, vendors, participants, volunteers, revenue and expense tracking, etc.
      • Supervise event staff and volunteers.
      • Recruit and manage volunteer committees for all events, where applicable.
      • Participate as a member of the development team in planning and implementing the organization’s overall fundraising strategy and programs.
      • Maintain a high level of confidentiality and discretion.

    Role Priority Elements:

    • Work with Director of Special Events and Event Coordinator to support coordination of all Milwaukee, Ozaukee and Racine special events including, but not limited to, Pet Walks, Telethon, Paws & Claws Gala, and other events as applicable.
    • Update Convio and Raiser’s Edge to ensure event information is accurate.
    • Perform data entry and create and send acknowledgement letters, as needed.
    • Respond to external and internal requests for support including third-party fundraisers.
    • Coordinate meetings and schedules of volunteers and staff to support event management.
    • Propose and implement new ideas to improve the event planning and implementation process.

    Role Secondary Elements:

    • Prepare and send correspondence for each event, including solicitation letters, confirmation letters and acknowledgements, as appropriate.
    • Conduct research, make site visits, and find resources to make decisions about event possibilities.
    • Prepare day-of event materials including registration instructions and processes, nametags, materials, packages, gift bags, etc.
    • Close out all events as required by development department procedures.
    • Serve as liaison with vendors on event-related matters.

    Additional Elements:

    •  Fiscal Responsibility
      • Prepare budgets with Director of Special Events and provide periodic progress reports for each event project.
      • Keep track of event finances including check requests, invoicing, and reporting.
    • Event Details Management
      • Work collaboratively with marketing and design team members to effectively promote events to internal and external audiences.
      • Effectively use Raiser’s Edge, Convio, JustGiving, and other software to drive results.
      • Manage and execute all event contracts and contract negotiations.
      • Create, manage and execute specific event needs including space design, food and beverage, supplies and day-of event flow.
      • Work with internal data team by leading the process to ensure correspondence for each event, including forms and acknowledgements, are completed accurately and timely.

Qualifications & Requirements

  • 2-5 years’ work experience in event coordination or fundraising
  • Proven success working in a non-profit high-functioning development team with event planning required.
  • Ability to handle high-pressure situations in a professional manner in a fast-paced environment.
  • Desire to create process improvement in all aspects of work.
  • High attention to detail.
  • Experience managing high profile volunteers preferred.
  • Capable of accepting and completing tasks with minimal supervision in a highly self- motivated manner.
  • Commitment to treat animals and people with respect and kindness.
