This part-time, year-round position is responsible for coordinating group outings and public program activities at the Blue Lotus Center. They are responsible for communicating with our partners, booking groups and facility rentals, training and scheduling program staff, planning and implementing public programs, and working with the rest of the Blue Lotus Team to ensure a quality experience for our guests. Along with our program specialists, they act as a host for nonprofit organization that visits and program participants, making sure our guests have a safe and enjoyable time at the Blue Lotus Center. The position averages 24 hours a week, typically 20 hours/week in the slower winter months and 28 hours a week in the summer. The position is mostly on-site during the summer, but hybrid work is possible in the winter. Pay for this position is $24/hour.

RESPONSIBILITIES

  • Partners: the program manager is the primary liaison to our partner organizations and is responsible for communicating with our partners, booking their outings, sending invoices and processing payments through QuickBooks, ensuring contracts, certificates of liability insurance, and other necessary paperwork is in order and that everything is ready for their visit. The program manager works with the associate director to recruit new partners and the associate director to schedule and train group host volunteers for the benefit of our guests.
  • Program Staff: the program manager works with the associate director to hire program specialists to help cover group outings, public programs, open houses, etc. They are responsible for hiring and training the staff, scheduling, tracking their timesheets, upholding safety standards, and ensuring they have a positive employment experience with the Blue Lotus Center.
  • Group Outings: The program manager will assist in group coverage about once or twice a week during the summer. They will act as primary contact during their visit. This includes being responsible for daily set up and take down of activities, welcoming everyone and going over safety information, ascertaining the group needs, taking photographs, assisting people with outdoor activities, and cleaning up.
  • Blue Lotus Days, Open Houses, and Other Public Programs: Work closely with other office staff to plan and coordinate open houses, Blue Lotus Days, and other public programs at the Center. Devise and execute a program strategy annually with the team. Take primary responsibility for organizing the details of these programs and events while scheduling program managers and other staff to help with coverage.
  • Facility Rentals: coordinate and book facility rentals – usually during winter months. Make sure the group has everything they need and a staff member is available to be the group’s liaison.
  • Volunteers: Lead and train volunteers in accomplishing tasks related to hosting a group or working a public program/event.
  • Communication: Communicate with supervisor during each scheduled workweek to recap the week’s events and discuss upcoming needs. Record number of people who attended.
  • Additional: Co-chair the program team to help execute the strategic plan of the organization as it relates to programming. Be a part of the planning process with other team members on various initiatives of the Blue Lotus Center and pitch in to help with fundraising events, volunteer days, and other activities as your schedule allows.

QUALIFICATIONS

  • High school graduate
  • Similar work experience preferred
  • Excellent interpersonal skills, customer service skills, and oral communication skills
  • Ability to work cooperatively with a diverse population
  • Experience working with volunteers, and the ability to engage volunteers
  • Tact, diplomacy, initiative, and good judgment

HELPFUL EXPERIENCE

  • Familiarity and enjoyment of outdoor activities including canoeing, hiking and fishing
  • Experience working with people with disabilities
  • Computer literacy and comfortable working with MS Office, databases, and other software programs
  • Certifications including CPR, First Aid, AED and Lifeguarding

WORKING CONDITIONS

  • Blue Lotus is a collaborative team working environment with a small supportive staff. We make major decisions, plan for the future, and solve problems as a team alongside our very supportive board and volunteer corps.
  • Expect to work outside a lot from mid-April to mid-October and occasionally in the winter in a variety of weather conditions including hot summer weather, cold winter weather, and light rain.
  • Must be able to lift 10-30lbs frequently and up to 50lbs occasionally.
