National Kidney Foundation of Wisconsin (NKFW) is a volunteer driven organization dedicated to preventing kidney diseases, improving the health and well-being of individuals and families affected by kidney disease and increasing the availability of all organs for transplantation. The Administrative Assistant fulfils this mission by supporting administrative tasks relating to fundraising, community events, and daily operations. This role is part-time and reports to the Senior Director of Community Outreach. As a small team, this role will also work closely with the Chief Executive Officer.

General Summary:

Part Time (approx. 15-20 hours per week), Hourly, Primarily in-person at the NKFW office

Schedule is negotiable within typical office hours of M-F 8:00 AM-4:30 PM

Reporting to the Senior Director of Community Outreach, the Administrative Assistant responsibilities include, but are not limited to:

  • Assists with routine business operations including coding monthly receipts, scanning gifts, ordering office supplies, answering calls, and occasional scheduling.
  • Supports fundraising activities by tracking donor and volunteer activities in the DonorPerfect database, generating gift acknowledgement letters, and associated reporting.
  • Provides administrative support for NKFW meetings and events such as tracking attendees, occasional outreach to vendors, and preparing associated materials. Examples of events include the Spotlight on Life Gala (March), Summer Celebration (July), board meetings, and educational events throughout the year.
  • Other duties as assigned

Compensation:

  • Salary Range: $16.00-$19.00 per hour
  • 10 Paid Time Off Days in First Year (12 Days after First Year)
  • Eligible for 403(b) Retirement Account, Life Insurance/Accidental Death and Dismemberment and Short-Term Disability at 20 hours per week.

Minimum Qualifications:

  • Associate degree, or 2 years relevant experience in administrative or operational role
  • Excellent written and oral communication skills
  • Proactive with strong problem-solving skills, organization, and time management
  • Ability to function independently and as part of a small collaborative team
  • Proficiency with technology typical of an office setting including Microsoft applications
  • Comfort learning event management platforms (GiveSmart or similar) and CRM database products (DonorPerfect or similar) in a self-directed manner
