POSITION: Mission Advancement Coordinator

SUMMARY JOB DESCRIPTION
The Mission Advancement Coordinator supports the All-In Milwaukee Mission Advancement team in building meaningful connections across the community to support scholar success and organizational growth. This position directly supports the organization’s efforts in fundraising and communications.
The All-In Milwaukee vision is for a vibrant city with diverse, college-educated leadership. To build a sustainable and thriving community, Milwaukee must first build a college-educated workforce. This role bolsters the organization’s efforts to grow to serve 1,000 scholars annually, and exceed its goals of 75% of scholars graduating from college in six years or less, with less than $16,000 in student loan debt, while retaining at least 75% of graduates in Southeastern Wisconsin either by employment or graduate school.
ESSENTIAL DUTIES & RESPONSIBILITIES

Mission Advancement
- Manage and maintain donor and partner records in the organization’s CRM (Salesforce), ensuring data accuracy, completeness, and timely updates.
- Conduct prospect research to support donor cultivation, solicitation, and stewardship strategies.
- Maintain systems and reports that track donor engagement, gift history, and stewardship activities in support of fundraising goals.
- Coordinate internal workflows related to donor meetings, event logistics, acknowledgements, and reporting timelines.
- Support the preparation of grant proposals, reports, and stewardship materials in collaboration with internal teams and leadership.
- Assist with planning and execution of employer engagement and stewardship events, including coordination of logistics and in-kind contributions.
- Support communication with career partners to share program updates, outcomes, and event information.
Communications & Brand Management
- Support implementation of a cohesive communications strategy aligned with All-In Milwaukee’s mission, values, and brand standards.
- Manage stakeholder contact lists and communication platforms (e.g., Salesforce, Mailchimp) to support effective outreach and engagement.
- Develop, schedule, and publish day-to-day social media content across organizational platforms.
- Coordinate the development and distribution of e-newsletters in partnership with relevant team members.
- Serve as a resource to promote brand consistency across internal communications and public-facing materials.
Team & Meeting Coordination
- Prepare agendas and contribute relevant content for Mission Advancement team meetings.
- Attend team meetings and provide updates on fundraising activities, deadlines, and key deliverables.
- Maintain and update the Mission Advancement operational calendar, CRM records, and prospect tracking tools.
- Complete administrative tasks and special projects as assigned in support of team and organizational priorities.

- Strong written and verbal communication skills, with the ability to communicate clearly and professionally with diverse internal and external stakeholders, including donors, partners, and colleagues.
- Excellent interpersonal and relationship-building skills; able to engage effectively with individuals from a wide range of backgrounds and roles while exercising sound judgment in sensitive situations.
- Highly organized and detail-oriented, with the ability to manage multiple projects, prioritize competing deadlines, and ensure accuracy across data, communications, and deliverables.
- Ability to work independently within established systems and processes, exercising good judgment to solve routine problems and move work forward with minimal supervision.
- Strong project coordination skills, including tracking tasks, timelines, and follow-ups across fundraising, communications, and event-related activities.
- Proficiency with CRM and communication platforms (Salesforce preferred), email marketing tools (e.g., Mailchimp), and social media management tools; comfortable learning new systems and technologies.
- Working knowledge of standard office software and digital tools (e.g., word processing, spreadsheets, email) to support reporting, data management, and coordination.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Willingness to work occasional evenings or weekends and to travel locally or regionally as needed to support organizational events and meetings.
EDUCATION & EXPERIENCE
- Bachelor’s degree required; relevant experience in fundraising, nonprofit communications, or partnership management strongly preferred.
- Experience supporting donor engagement, external communications, or stakeholder-facing work preferred.
- Familiarity with Salesforce or similar CRM systems, email marketing platforms, and digital communications tools preferred.
