As the Scholarship Coordinator, you will provide administrative support to the Scholarship Manager and will work independently and as part of a team to fulfill responsibilities primarily related to the scholarship program within Donor Services & Gift Planning. The Scholarship Coordinator will plan, schedule, and support a variety of virtual and in-person meetings including scholarship selection committee meetings and presentations to students and the community. This individual will also support process efficiency improvements, outreach initiatives to advertise scholarship opportunities, and provide excellent customer service to students and other key stakeholders including but not limited to schools, community volunteers, and fund contacts.

If you have at least three years of relevant experience and are proficient in Office 365, we want to hear from you! We offer a flexible and hybrid working environment. Our team currently works in our office at 4455 W. Lawrence Street in Appleton, WI, or remotely in the Fox Valley area. This position is a full-time, benefits eligible position. The starting pay is $23.70 per hour. A start date no later than April 2026 is preferred.

POSITION TITLE: Scholarship Coordinator
DEPARTMENT: Donor Services & Gift Planning

POSITION SUMMARY

The Scholarship Coordinator is part of The Foundation’s dedicated team of professionals who work together under the core values of belonging, integrity, respect, stewardship, and teamwork, to support the strategic direction and mission of the Foundation, strengthening our community for current and future generations by helping people make a difference in the lives of all.

The Scholarship Coordinator will provide administrative support for the scholarship program within Donor Services & Gift Planning. This individual works independently and as part of a team to fulfill responsibilities primarily related to donor centric granting and development, project planning, efforts to steward new donors and existing donors, support of the Foundation’s scholarship program and other functions within the Donor Services & Gift Planning Team and Foundation. The Scholarship Manager will provide strategic direction and planning guidance to ensure alignment with the Foundation’s strategic development plan.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Fundamental Responsibilities

  • Coordination, documentation, and execution of workflow of fund management, scholarship cycles, and volunteer committees, including, but not limited to, fund documentation, scholarship advertising, applications, constituent records and scholarship reports.
  • Support outreach initiatives to advertise scholarship opportunities to schools and community partners.
  • Coordinate the quarterly creation and distribution of eBlasts.
  • Provide planning and coordinate external stakeholders’ meetings including but not limited to prospective donors, fund contacts, and volunteers.
  • Coordination and preparation of presentations, volunteer trainings, data, reports, and communication. Generate data and database-driven reports to further engage with stakeholders.
  • Assistance with facilitating scholarship presentations and trainings with students, volunteers, and donors as applicable.
  • Create and update records in database.
  • Provide customer service support and communications to students, schools, volunteers, and fund contacts.
  • Support the application and award processes ensuring program integrity and compliance with scholarship policies, procedures, and audit.
  • Coordinate and support the Scholarship Manager with implementation of technology and software updates including applications and forms, internal and external procedures, and website content.
  • Collaborate and support the Scholarship Manager with the administrative work of scholarship cycles including but not limited to creation of award packets, mailing lists, and assignments within software systems.
  • Provide back-up assistance to support Donor Services & Gift Planning team with a full range of professional services and support related to the Foundation’s strategic direction and mission.
  • Provide back-up assistance to receptionist to answer phone calls, assist visitors, open/close the office, and provide office coordination assistance as needed.

EDUCATION AND/OR EXPERIENCE

  • A minimum of three years of combined experience with project coordination, philanthropic or nonprofit development, administrative support experience or a related field is required.
  • Proficient use of Office 365, including Word, Excel, Outlook, PowerPoint, and Teams, and virtual meeting platforms.
  • Proficient with project coordination and scheduling meetings.
  • Experience working with CRM software systems and relational databases such as Foundant Technologies products is a plus.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent written and verbal communication skills.
  • Proficient in the creation and formatting of spreadsheets, including formula formatting and pivot tables.
  • Willingness and enthusiasm to learn and contribute.
  • Ability to engage and interact with internal teams to resolve issues timely and accurately, while working independently with minimal supervision.
  • Effective time management to handle multiple concurrent projects, deadlines, and often changing, daily tasks and priorities in a fast-paced team environment.
  • Continuous improvement skills for process efficiency.
  • Excellent organizational skills and keen attention to detail.
  • Ability to handle sensitive and confidential information and maintain a high level of confidentiality.
