The Administrator position is a full-time position involving behind the scenes administrative tasks that are required to have a successful organization. Responsibilities will include handling sensitive information from donors and sponsors of the organization requiring a high degree of confidentiality.
Duties and Responsibilities:
- Know, understand and live the LOVE>hate vision, mission, and values
- Monitor our light.org email addresses and website, (i.e. Contact Us, Share Your Story, Start a Chapter, etc.). and process incoming communications
- Prepare and Process Invoices and Deposits using Quickbooks and CRM (Little Green Light)
- Complete monthly bank reconciliations (QuickBooks)
- Manage PayPal, Square, and other financial applications
- Generate monthly banking (Income/Expense) reports for the Ex. Director and bimonthly reports for board meetings.
- Maintain donor/sponsor notes in CRM system (LGL) including visits, phone calls, meetings, etc.
- Generate Thank You Letters to donors including Year End Thank You/Tax Letter
- Manage distribution of annual campaigns, Winter Campaign and the Gratitude Report.
- Manage Executive Director registration and travel plans for all facilitation presentations and training opportunities.
- Support Volunteer Roles including but not limited to processing initial applications process and distributing supplies and needed materials (Prison Program Facilitators).
- Monitor L>h PO Box biweekly
- Order and maintain office supply inventory
- Attend team meetings including updates with Executive Director and Marketing Meetings (Hoan)
- Filing and organization (expense receipts, deposit receipts, insurance, etc.)
- File annual reports with IRS /State and Renew insurance policies
- Support special events (fundraisers)
- Other admin tasks as needed
Skills:
- Proactive problem solver with excellent communication and conflict resolution skills
- Tech Savvy and ability to learn CRM systems, Square, LGL, Tech Soup, Zoom, etc.
- The ability to work independently
- Experience in non-profit
- Excellent time management, communication and organizational skills
- Ability to perform in a fast-paced environment
- Strong attention to detail and organization
Terms:
Job Type: Full- Time (30-32 hours per week)
Salary: $17.82 – $19.26 per hour based on experience
Benefits: PTO. Insurance and IRA benefits are NOT available with this position.
Schedule: approx 6-hour shift, Monday to Friday, with flexibility to create your own hours
Work Location: This position is performed remotely, understanding the role requires monitoring mail (PO Box) and distributing supplies to volunteers.
Equipment: L>h will provide a personal computer for L>h uses only. IT support for L>h computers provided by 3rd Coast Digitech.
