About this position: This position is part-time (20-25 hours/week). Hours must be completed Monday through Friday between 1:15 pm and 6:30 pm. This position reports to the Administrative Manager and Executive Director and works in partnership with the Administrative Coordination Team as well as clinical staff to deliver day-to-day administrative support.

Duties and Responsibilities:

  • Fulfill general reception duties include, but not limited to the following, greet and direct office visitors, direct incoming calls, communicate client arrival to clinical staff, file and scan documents, data entry
  • Provide primary clerical, reception, and program support to psychiatry staff
  • Assist in maintaining reporting needs for all Rainbow Project programs
  • Coordinate with Administrative Manager, Clinical Manager, Finance/HR, and Executive Director, provide support to each as needed/requested
  • Coordinate general clerical/administrative and operational support with other administrative staff
  • Facilities support, such as managing inventory of office and other essential supplies, maintaining waiting area and other spaces within the building, and property upkeep

Qualifications:

  • Minimum three years of office administrative support experience
  • Some college preferred
  • Licensed driver with access to insured vehicle
  • Ability to pass required background check
  • Must be proficient in Microsoft Office Suite and adept at learning various technology/platforms
  • Experience with electronic health records systems and databases preferred
  • Excellent organization skills; detail-oriented
  • Excellent communication skills, both written & oral
  • Demonstrates taking initiative and eagerness to learn
  • Able to manage varied tasks and adapt efficiently
  • Demonstrates diverse, equitable values and actions in the workplace
  • Compassionate and cooperative
