JOB SUMMARY:
Office tasks, including answering phone, greeting guests, assisting with mailings and correspondence, data entry, report creation, and promoting the organization with utmost positivity.
Assist with organization functions, as directed. Positively maintaining community partnerships, relationships with supporters of Family Promise such as Board Members, new and existing individual donors, corporate and other business support, private and community foundations, schools, service clubs, alumni, and other nonprofits.
Hours will include administrative functions occurring during normal Family Promise Office hours. Duties at these times will be answering housing hotline calls and serving guests and visitors as needed.
This is a full-time hourly position at 40 hours per week on a regular basis. The hours can be flexible but will generally be between 8 a.m. – 5 p.m., except when community interaction or organization functions require other hours. Hours weekly may vary based on workload and may be adjusted with director approval when needed.
It is the responsibility of every employee to cultivate and maintain positive donor relationships.
JOB RESPONSIBILITIES:
Program Operation & Business Office Related Responsibilities:
- Greet guests/visitors appropriately.
- Answer and direct calls to employees and or voicemail system.
- Answer “Housing Hotline” calls, enter specific data and make appropriate referrals.
- Assist employees as necessary including mailings, copying and related tasks.
- Answer guest questions or concerns as needed.
- Assist in maintaining, cleaning, organizing any part of the buildings.
- Other duties as assigned.
Executive Director Support for Business Office Responsibilities:
- Greet guests/visitors appropriately.
- Answer and direct calls to Executive Director and or voicemail system.
- Assist Executive Director as necessary including mailings, copying and related tasks including distribute incoming mail, mail daily correspondence from office at the post office and monitor postage use for reorder.
- Upload pertinent organization files/records including event files, history files general office records and correspondence to the shared system.
- Assist in updating contracts, program rules, agreements, permits and the like as needed.
- Maintain organization of office, building and donated supplies and all inventories.
- Generate reports as needed.
- Ensures compliance and license requirements for organization with legal federal and state regulations.
- Maintains confidentiality in an appropriate manner.
- Other duties as assigned.
Executive Director Support for Fund Development Related Responsibilities:
- Assist in bookkeeping tasks, entering payments/donations, making online and in person (at the bank) deposits, record appropriately in QuickBooks.
- Prepare all correspondence and receipts for donor acknowledgement.
- Assist with donor inventory, email, and database entry.
- Assist with online tools organization specifically related to workflow as needed.
- Create thank you letters for all event donors and participants.
- Assist with grant writing and preparation as needed.
- Assist with organization functions or events as needed.
- Assist with marketing materials, such as brochures, presentations, social media, and mailings for seasonal and fundraising events as needed.
- Other duties as assigned.
Qualifications
- A minimum of one-year previous office experience.
- Excellent, verbal, and written communication skills.
- Excellent organizational skills.
- Proven ability to develop and maintain effective working relationships and partnerships with board, employees, volunteers, donors, and community groups.
- Commitment to role model and promote a lifestyle wellness and positivity for the organization.
- Fosters a positive work culture.
- Experience and above average abilities in typing skills, Microsoft Office programs and other online tools.
- Must possess a valid driver’s license and good driving history (no history of operating a vehicle during a time of suspension, operating a motor vehicle without a license, careless or reckless driving, driving under the influence of alcohol or drugs, negligent homicide arising out of the use of a motor vehicle, or aggravated assault with a motor vehicle, two moving violations in last three years, more than two at fault accidents, or a speeding in excess).
- Confidence in handling confidential records.
- Clean drug test before hire. Background check done before hire as well.
Physical and Mental Requirements:
- Must be able to sit for long periods of time and work on a computer.
- Must be able to stand or walk for long periods of time.
- Must be able to lift at least 30 pounds.
- Must be able to think clearly and concisely.
