ABOUT THE ROLE

St. Thomas of Canterbury Episcopal Church is seeking a part-time administrative assistant / office manager (10-14 hours per week). The Parish Administrator works closely with the Rector to oversee daily operations and ensure a welcoming, well-organized environment. The person filling this position will handle all administrative functions and coordinate facility management. Strong communication skills are essential to support leadership and maintain smooth church operations. By effectively managing the practical aspects of church life, the Parish Administrator plays a key role in creating an environment for excellent functioning of all dimensions of parish ministry.

ESSENTIAL FUNCTIONS

  • Reception: return all voicemails and/or direct callers to the appropriate person; regularly check the office email and respond as appropriate; greet and assist visitors to the church during core business hours
  • Communication: coordinate with the Rector and Music Director to prepare, print, and electronically publish the weekly bulletin (program); coordinate with the Rector to prepare a weekly email newsletter and other churchwide emails as needed; update website with current, relevant information; maintain and update the membership directory; assist in developing and producing communication for special services and events; maintain and communicate lay ministry schedules that support Sunday worship
  • Building Management: coordinate with Buildings and Grounds volunteers and Rector to schedule maintenance and repairs as needed; update and maintain master building use calendar; adjust HVAC schedule as needed; work with outside groups using building; inventory and order office and janitorial supplies
  • Administrative Support: organize and oversee the efficient running of the church office; open and sort mail and other deliveries and get them to the necessary people, including scanning bills; maintain correspondence; maintain filing, both digital and physical; make copies; manage recordkeeping for the church-wide abuse prevention training
  • Continue to develop new skills and familiarity with new technologies
  • Actively seek opportunities to improve the life and work of the church
  • Other tasks and projects as needed

MINIMUM QUALIFICATIONS

  • Ability to communicate professionally via phone, email, and in person
  • Proficient in Microsoft Office Suite (Word, Excel) and Google Drive / Docs
  • Ability to learn new software to complete job duties; the software we currently use includes Mailchimp for churchwide emails, Canva for graphics creation, Weebly for website hosting (no coding needed), and Breeze for the church database
  • Ability to keep confidentiality
  • Strong organizational and problem-solving skills
  • Ability to work well with people and independently
  • Understanding and supportive of Christian beliefs
  • Supportive of the doctrine and worship of the Episcopal Church, knowledge of Episcopal practices preferred
  • Must be self-directed, experience working in a church preferred

ADDITIONAL INFORMATION

  • The successful candidate will work with the Rector to set a consistent in-office schedule totaling about 12 hours a week spread over 2-4 workdays. One hour must be during business hours on Monday.
  • Limited unpaid time off can be taken as negotiated with Rector.
  • Paid holidays, if these days fall on the schedule you set: New Year’s Day, Martin Luther King, Jr. Birthday, Monday after Easter, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Day after Thanksgiving, Christmas Day
