Position: Marketing & Donor Relations Coordinator

Position Summary
The Marketing & Donor Relations Coordinator plays a key operational and creative role in supporting Messmer High School’s communications, donor relations, and fundraising efforts. Splitting responsibilities between marketing support and gift administration, this role ensures accurate donor database management, timely gift stewardship, engaging social media presence, and multi-channel content support.
Key Responsibilities
- Marketing & Communications Support
Under the direction of the Director of Marketing & Communication, support the development and execution of Messmer’s marketing and communications efforts, including:
- Social Media Management & Creation: Develop, write, and publish regular social media content; manage ongoing audience engagement across platforms.
- Photography & Multimedia: Capture photography and produce basic video edits for school events, student achievements, and promotional materials.
- Email & Digital Content: Assist in planning, writing, and creating content for the monthly e-newsletter (Messmer Connect), managing clean email distribution lists exported from Salesforce.
- Website & Graphic Design: Execute basic website updates and create routine graphic materials for digital and print use, following established brand standards and direction.
- Gift Processing & Advancement Operations
Under the direction of the Director of Advancement, support the accurate and timely processing, documentation, reconciliation, and reporting of gifts and advancement operations.:
- Donation & Gift Management: Process daily checks, online donations, platform gifts (GiveSmart, Cardpointe, matching gifts), ACH, and stock transfers in coordination with the Business Office.
- Database & Salesforce Administration: Perform daily gift entry, verification, and record maintenance in Salesforce; upload graduate data to track alumni outreach.
- Donor Stewardship & Receipts: Organize and distribute formal tax receipt letters for donor acknowledgment.
- Compliance & Financial Reconciliation: Generate monthly donation reports, reconcile gift records and restrictions with the Business Office, and upload required documentation for annual audits.
- Reporting & Committee Support: Prepare quarterly advancement metrics for Advancement Committee meetings and distribute reconciled gift, pledge, and Gift-in-Kind.
- Event Execution & Special Projects
- Event Support: Provide cross-functional logistical and promotional support for seasonal school and advancement events, including major fundraisers (e.g., Annual Gala, Golf Outing).
Qualifications & Key Competencies
The ideal candidate will bring strong organizational, communication, and technical skills. Because this role combines a unique range of marketing, communications, and advancement responsibilities, we are willing to train the right individual on specific systems and technical skills.
- Technical Skills: Experience with Salesforce (or similar CRM), Meta Business Suite, basic video editing, graphic design tools (e.g., Canva and/or Adobe Creative Suite).
- Detail-Oriented & Organized: High precision in financial data entry, database reconciliation, and compliance documentation.
- Communication Skills: Strong copywriting, proofreading, and verbal communication abilities across donor and public-facing channels.
Work Environment & Physical Demands
- Standard office environment. Sitting and standing for an 8-hour workday (in person).
- Ability to work occasional evenings and weekends for major fundraising events.
