Operations Support Manager

Reports To: Senior Director of Finance & Operations  |  Job Type: Full-time Exempt 

Essential Duties & Responsibilities

Process and Project Management

  • Create and maintain all Standard Operating Procedures specific to student recruitment, scholar programs, and data collection best practices.
  • Support staff in implementing and adherence to Standard Operating Procedures.
  • Manage the student recruitment and selection process for the future classes of AIM.
  • Serve as the lead point of contact with the Pathway Partner counselors and students for scholar recruitment and selection, including program presentations to related stakeholders.
  • In partnership with the Senior Director of Finance & Operations, manage the scholarship disbursement process.
  • In partnership with the Senior Director of Finance & Operations, execute the plan to evaluate and measure outcomes across the program.

Database and CRM Management

  • Maintain and improve systems to track key performance metrics across the program, including student success and career placement activities.
  • Manage and maintain the data management system housing student and partner data.
  • Serve as the point person for data reports and dashboards required by internal and external stakeholders.
  • Lead efforts for analyzing, interpreting, and presenting comparable data research.
  • Ensure seamless transition of new data and collection methods into the database.

Operations Support

  • Support program team in managing event data within the data management system.
  • Support program team in managing technology and outreach for career placement opportunities.
  • Support employee hiring and new hire onboarding.
  • Manage the All-In Milwaukee internal calendar for events, meetings, and reminders.
  • Manage office systems and processes to keep office and operations organized.
  • Participate in the donor development process as required.
  • Perform ad hoc tasks and projects in support of the AIM leadership team.

  • Maintain confidentiality of sensitive information and ability to take ownership for the proper use and sharing of information.
  • Ability to work unsupervised, make decisions and solve routine problems independently, effectively, and creatively.
  • Ability to analyze and interpret data to provide insights and recommendations for decision-making and reporting.
  • Strong proficiency in Microsoft Office suite programs, especially Excel, is necessary.
  • Ability to learn data management software and prior experience with Salesforce is high beneficial.
  • Desire to continuously learn and a flexible attitude to grow and change as the organization evolves.
  • Ability to work a flexible work schedule, including occasional nights, and weekends as required.
  • Ability to occasionally travel throughout and outside the Metro Milwaukee area for various meetings.

Education & Experience

  • Bachelor’s degree in a relevant field such as business administration, education, or related discipline required.
  • Three or more years of relevant experience aligned with outlined essential duties & responsibilities and knowledge, skills & abilities required.

The employee is regularly required to operate a motor vehicle. The employee is occasionally required to bend, stoop or kneel; lift, carry and/or move up to 25 pounds.  

Specific vision abilities required by this job include close vision and ability to read from a computer or electronic device, and the vision required to operate a motor vehicle.  

The noise level in the work environment is usually quiet to moderate. The employee is exposed to outdoor weather conditions during work-related travel.

Salary

The starting base salary for this role will be $50,000 but is negotiable based on experience and qualifications.
