Job Summary: The Development & Communications Associate provides direct support to the Development & Communications Manager in key operational tasks related to fundraising and marketing. This position is primarily responsible for managing the agency’s donor database (DonorSnap), assisting with event logistics, and coordinating communication materials. The Associate will focus on executing the operational elements of the fundraising and marketing efforts, including maintaining donor records, creating content for newsletters and e-blasts, and supporting the Manager with events. This position is supervised by and provides administrative support to the Development & Communications Manager. Hours are primarily onsite Monday-Friday, first shift with some evening or weekend requirements.

Job Duties:

The following are key responsibilities of the Development and Communiations Associate:

  1. With direct oversite by the Development & Communications Manager, record and maintain accurate donor gift records and activity in Donor Snap. Update donor information, run reports, and manage donor communications such as acknowledgments and thank-you notes. Assist with tracking donations through platforms such as Facebook, PayPal, Benevity, and United Way.
  2. Assist with the planning and implementation of fundraising events by coordinating logistics, tracking donations, and managing guest lists. Process event registrations, donations, and acknowledgments.
  3. Coordinate and execute the creation and distribution of marketing materials, including the quarterly newsletter (Heart Matters) and social media posts. Maintain inventory of marketing materials and assist in updating existing resources.
  4. Support the Development & Communications Manager in creating and sending e-blasts and other digital communications using tools like Constant Contact.
  5. Assist with other administrative and operational duties as assigned to support the overall Resource Development department.

Skills and Qualifications:

The ideal candidate must be detail oriented and able to manage multiple projects at once, prioritizing tasks to meet deadlines. The ideal candidate will have earned a bachelor’s degree in Marketing, Communications, Business, or a related field. A valid Wisconsin driver license, with regular access to a reliable and insured vehicle is required. A familiarity with vulnerable populations is helpful. 

  • Strong written and verbal communication skills are required.
  • Strong organizational, coordination, and project management skills are required.
  • Ability to prioritize and handle multiple deadlines and projects at once is required.
  • Demonstrated competence in using Microsoft Office (Word, Excel and Outlook) and donor database. 
  • Intermediate knowledge of social media channels (Facebook, Twitter, LinkedIn, YouTube) is preferred. 

This position is open to all qualified internal and external candidates. Internal candidates must have reached six months of continuous employment at the time of application. Candidates must be able to sit, stand, stoop, and walk for extended periods of time, and be able to lift 15 pounds. All staff at are expected to work effectively both independently and in a team environment, and to become familiar with and utilize a trauma-informed approach.
