Position Description
As the Operations Manager you will assist the Executive Director in coordinating and overseeing all day-to-day operations including supporting team members and managing multiple projects concurrently. Projects may include managing grants, financials and office operations and are administrative in nature focusing on process improvement and aligning with best practices.
The Operations Manager is a vital member of our organization helping keep Courage MKE compliant, organized and productive. We rely on you to help maintain a positive culture that keeps morale and performance high.
Responsibilities:
Operations
- Provide as needed support to the Executive Director, including but not limited to, managing the day-to-day office operations, organizational/fundraising calendar, orientation of employees, and benefits for all staff.
- Oversee office management and supplies.
- Create operational objectives to build efficiencies and improve management systems, including implementation, analysis and creation of new systems, processes, and procedures.
- Ensure all legal and regulatory documents are filed and monitor compliance thereof to ensure organization remains legally compliant.
- Maintain monthly relationships with donors, volunteers, supporters, and community partners through applicable communication methods.
Financial Management
- Oversee accounting by managing budgets and forecasts, direct proper booking of revenue and expenses.
- Ensure adherence to accounting policies and practices; coordinate and support preparation of annual audit with accounting firm and third-party auditor.
- Design and manage preparation of monthly financial reports; create additional financial reports–as needed–for grants, projects and board/committee meetings.
- Support annual budget preparation in coordination with the Executive Director, staff and Treasurer.
- Present all financial data for approval to the Executive Director
- Support the Executive Director in gathering content for Annual Report
- Assist with preparing materials for board meetings.
Fund Development
- Lead administrative aspects of individual giving, corporate giving and grant management including donor research and communications, data management, pre-proposal, and grant application development, tracking and reporting.
- Assist with the implementation and management of annual fundraisers.
- Track fundraising efforts, analyze and provide reports.
- Support the gala planning team as needed.
Qualifications:
The successful candidate will have the following qualifications:
- Proven work experience as an Operations Manager or similar role, and/or hold a degree in Business, Operations Management, or related field.
- Knowledge of organizational effectiveness and operations management.
- Experience budgeting and forecasting and familiarity with business and financial principles.
- Demonstrated experience in organizational/resource development, personnel management, and financial/budget administration.
- Proficiency in Microsoft Office Suite; Quickbooks; Bloomerang, WIX, Social Media platforms, and data analysis.
- Highly organized with attention to detail, patience, and professionalism, and the ability to work independently coordinating multiple, diverse projects, manage and adhere to realistic deadlines.
- Strong interpersonal and active listening skills.
- Excellent written and verbal skills.
- Prioritization skills and ability to work according to the organization’s needs.
- Willingness to learn and grow with the organization.
- Strong commitment to the community and environment.
