POSITION REPORTS TO: Director of Business Development, MDS

EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Non-Exempt (Minimum of 37.5 hours/week)

GENERAL SUMMARY:

The International Parkinson and Movement Disorder Society is a non-profit medical professional society of 10,000+ influential clinicians, scientists, and other healthcare professionals from around the world dedicated to improving the care of patients with Parkinson’s disease and movement disorders through education and research.

The Development Coordinator supports the Development Team and the Director of Business Development in the planning and execution of the MDS International Congress, the Asian and Oceanian Parkinson’s Disease and Movement Disorder Congress, the Pan American Parkinson’s Disease and Movement Disorder Congress, Regional Education Courses, and other related fundraising activities. This position focuses on Industry support, communication and data tracking related to these educational events, including exhibit and sponsor commitments, contracts, invoicing and account reconciliation.

POSITION RESPONSIBILITIES (minimum of 37.5 hours/week):

  • Coordinate Congress sponsor/exhibitor confirmations, agreements, invoices and related financial records in shared database, and interact with Administrative and Accounting Teams as needed
  • Maintain Congress and course sponsor/grantor records in shared online database to track industry and nonprofit solicitations, expenditures, products, contacts, notes, and other information
  • Coordinate select Congress sponsor/exhibitor communications on behalf of the Development Team, including drafting emails, maintaining timelines, and sharing deadlines
  • Assist Director of Business Development and Exhibits and Sponsorship Manager in responding to sponsor and exhibitor inquiries via email, phone, and virtual meetings
  • Assist with post-Congress reporting, sponsor/exhibitor evaluations, and invoice reconciliation
  • Assist Exhibits and Sponsorship Manager with deliverables related to Congress support
  • Coordinate regular review and updating of sponsorship details on International and Regional Congress websites to ensure accuracy and functionality
  • Ensure complete documentation of processes, proposals, agreements, budgets and deliverables in conjunction with Development Team
  • Assist with sponsor and exhibitor areas of the mobile application used for the MDS International and Regional Congresses, including retrieval and delivery of performance metrics to sponsors
  • Support assigned Committees, Task Forces, Study Groups or other workgroups as needed to achieve objectives, including, but not limited to, development of reports, agendas, minutes, timelines, action plans, correspondence, and other presentation materials
  • Assist with incoming and outgoing e-mails, phone calls, correspondence, scheduling, travel arrangements, and other day-to-day organizational functions
  • Work with internal departments (IS, TS, CS, Mail, Accounting, etc.) as needed for MDS projects
  • Interface in a professional manner with physicians, vendors, outside staff and others as needed
  • Other duties as assigned

AMOUNT OF TRAVEL REQUIRED

Approximately one week per year including possible international travel; some early morning/evening and weekend work required.

EDUCATION/EXPERIENCE REQUIRED:

Bachelor’s degree preferred. Previous association management experience and familiarity with nonprofit boards of directors are a plus. Excellent organizational and verbal and written communication skills required. Word processing and spreadsheet skills in MS Office environment essential.

PHYSICAL REQUIREMENTS:

Occasional lifting of up to 50 lbs. may be required.

*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
