CLIENT/DEPARTMENT OVERVIEW:
The American Academy of Allergy, Asthma & Immunology (AAAAI) is a professional medical society dedicated to advancing the knowledge and practice of allergy, asthma, and immunology. With more than 7,000 members worldwide, AAAAI supports education, research, clinical care, and advocacy to improve patient outcomes. Its work includes publishing leading scientific journals, hosting an annual scientific meeting, providing continuing medical education, advocating for issues impacting physician practice, funding research through its Foundation, and offering resources and tools for both clinicians and the public.
The Education Division of the AAAAI leads continuing medical education and training for physicians, fellows, and health professionals. It develops scientific programming for the Annual Meeting, supports accreditation and certification, and advances clinical knowledge in allergy, asthma, and immunology through online courses, webinars and other educational activities.
JOB OVERVIEW:
Responsible for supporting the AAAAI’s Annual Meeting and educational program and related support functions, in accordance with accreditation guidelines.
POSITION RESPONSIBILITIES (minimum of 37.5 hours/week):
- Work as part of a project team responsible for essential Annual Meeting planning activities, which includes administrative support of Discovery
- Monitor and respond to member and faculty inquiries received through the shared team email inbox, ensuring timely and professional communication.
- Coordinate logistics and ordering of supplies for special sessions during the Annual Meeting
- Review and process faculty reimbursement requests in accordance with organizational policies and procedures.
- Support the management and coordination of abstracts and posters, including submission review, tracking, and communication with presenters.
- Assist with the process to upload Annual Meeting recorded sessions and other educational content to the EverMed platform
- Serve as staff liaison to a committee within the AAAAI, coordinating activities and providing support as needed to achieve objectives
- Other duties as assigned
SKILLS AND QUALIFICATIONS:
1-2 years of activity development, or association management experience preferred; outstanding interpersonal, organizational, and communications skills; high accuracy and attention-to-detail; computer proficiency, including the use of database systems.
EDUCATION/EXPERIENCE:
Associate’s degree and/or 1-2 years of education activity development and/ or association experience, outstanding interpersonal, organizational and communication skills; high accuracy and attention to detail; computer proficiency.
TRAVEL REQUIRED:
Approximately 1-2 weeks per year.
WORK ENVIRONMENT:
This is a full-time position located in our office in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
PHYSICAL REQUIREMENTS:
Unrestricted mobility, ability to move quickly from place to place and lift & move up to 50 lbs.
