Executive Director, Inc. (EDI) is a leading association management company servicing 40 national and global medical, health, scientific associations and certifying bodies. EDI’s Human Resources department manages all employee-related functions, including recruiting and hiring, onboarding, administering compensation and benefits programs, performance management and training, employee relations issues and ensuring compliance with labor laws, while ensuring a safe and inclusive work environment.

JOB OVERVIEW:

The Human Resources Generalist provide support for the Human Resources Department through all aspects of the employee lifecycle. Maintains and enhances positive employee relations, acts as an information resource to employees regarding HR policies, procedures, payroll and benefits. Owns onboarding of new employees, processing payroll and ongoing benefits administration, maintaining a high level of confidentiality in all aspects of the role.

POSITION RESPONSIBILITIES (minimum of 37.5 hours/week):

  • Manage onboarding of new employees: internal and external communications, set up and tasks within ADP Workforce Now, conduct HR Orientations, schedule and track new hire training modules required in LMS.
  • Process new employee enrollments, including, but not limited to: health, dental, vision, STD, Life insurance, worksite lines, 401(k) and FSA. Serve as a resource to staff on details of all benefits offered.
  • Processing, coordinating and notifying appropriate internal staff with necessary information regarding employee changes: position changes, name changes, desk moves, etc.
  • Assist with employee Offboarding tasks; preparing separation packets, tracking and processing any COBRA enrollments, saving documentation and performance evaluations (out of Performance Pro system) to employee records for archival
  • Create, download and reconcile monthly benefit bill invoices and submit to the Accounting department for payment.
  • Monthly review and update of employee eligibility benefit classes: PTO accruals, STD/LTD enrollment, subsidized parking costs
  • Process bi-weekly payroll through ADP Workforce Now; transfer funds to 401(k) plan (Transamerica)
  • Monitor and ensure benefit data file feeds are processing correctly and working with benefit carriers to resolve any issues with enrollments.
  • Track and maintain any 401K contribution changes and loans for accurate deductions/payroll processing
  • Update and answer questions about timekeeping training for all new hires (ADP’s Workforce Now) and serve as one of the Administrators
  • Set up, track and reconcile Open Enrollment and other qualifying events in HRIS system (ADP Workforce Now)
  • Maintain and upload various employment and enrollment records and documentation into employees’ personnel file (in ADP)
  • Create and download reports out of HRIS system for compliance reporting, audits, census information and non-discrimination testing
  • Ensure accuracy of Total Rewards statements in ADP annually; enter professional development amounts to be included in statements
  • Coordinate and create intranet and all-staff communications as directed by the Director of HR & Office Support
  • Perform prescreening phone interviews for select positions; serve as backup for recruiting. Perform reference and background checks, as needed. Partner with hiring managers to better understand their hiring needs and candidate qualifications for their open positions. Advise hiring managers on Paycor and the overall hiring process.
  • Act as backup in other areas of HR and office operations, as needed
  • Attend and recruit at designated career fairs throughout the year
  • Other duties or projects as assigned

SKILLS AND QUALIFICATIONS NEEDED TO SUCCEED:

  • Familiarity with Windows Operating System environment; proficiency with MS Office software (primarily Word and Excel).
  • Exemplary attention to detail to ensure accurate results
  • Excellent organizational and written/oral communication skills are essential
  • Resourcefulness, critical thinking, and the ability to independently research and resolve problems
  • Experience with ADP’s Workforce Now and Paycor or other applicant tracking systems, a plus

EDUCATION/EXPERIENCE:

Bachelor’s degree in Human Resources or related field; equivalent experience considered. Minimum 2-3 years’ experience in an HR setting required, preferably in an HR Generalist role. Certification (SPHR, SHRM) a plus.

TRAVEL REQUIRED:  Minimal (local). Some evening work may be required to attend Networking events and career fairs.

WORK ENVIRONMENT:

This is a full-time position located in our office in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.

PHYSICAL REQUIREMENTS: (lifting, packaging, etc.)  Ability to easily lift up to 30 pounds.
