EMPLOYEE STATUS: Exempt, Full-time (Minimum of 37.5 hours/week)

CLIENT/DEPARTMENT OVERVIEW:

The International Parkinson and Movement Disorder Society (MDS) is a non-profit medical professional society of influential clinicians, scientists, and other healthcare professionals from around the world dedicated to improving the care of patients with movement disorders through education and research.

JOB OVERVIEW:

The MDS Meetings Manager will work with the Meetings team under the direction of the MDS Assistant Director of Meetings, to manage tasks and activities associated with the MDS Regional Congresses (PAS Congress and AOPMC) and International Congress. This includes logistics as well as projects related to the Regional Congress committees.

POSITION RESPONSIBILITIES (minimum of 37.5 hours/week):

  • Assist with the pre-meeting logistics planning and on-site implementation including but not limited to: meeting space, food and beverage, sleeping rooms, registration, audio-visual, signage, etc. for the MDS Regional Congresses.
  • Assist with implementation of any virtual meeting platforms that are required for the Regional Congresses
  • Create timelines and assist with creation of the budgets for the Regional Congresses.
  • Liaise with Communications department on development of marketing strategies and content for all Congress websites and mobile Apps (including International Congress)
  • Handle site visit arrangement and travel as needed to coordinate the planning of the Regional Congresses.
  • Assist with Congress Scientific Program Committee in person meeting logistics and pre-planning.
  • Assist as needed with the MDS International Congress. This may include MDS Pavilion organization, digital and printed signage, onsite committee meeting logistics, and research related to future destinations.
  • Attend the International Congress to assist with session management, registration or other duties as assigned.
  • Assist with special projects and administrative duties associated with Committees and handle other MDS meeting related projects as assigned. Assist other MDS teams as needed.
  • Work with internal departments (IS, TS, CS, Mail, Accounting, etc.) as needed for MDS projects.
  • Liaise with any MDS Study Groups as assigned by the MDS Executive Director.
  • Carry out other responsibilities as assigned.

SKILLS AND QUALIFICATIONS:

Outstanding interpersonal, organizational, and communications skills; computer proficiency required.

EDUCATION/EXPERIENCE:

2-3 years of project management experience, Bachelor’s degree preferred.

TRAVEL REQUIRED:

Approximately 3-4 weeks per year.

WORK ENVIRONMENT:

This is a full-time position is located in our office in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.

PHYSICAL REQUIREMENTS: (lifting, packaging, etc.)

Unrestricted mobility: must be able to walk great distances, move quickly from place to place, and lift and move 50-pound boxes.

ADDITIONAL INFORMATION:

Some early mornings, evening and weekend work may be required.
