POSITION(S) REPORTS TO: Assistant Director of Meetings, MDS

POSITIONS THAT REPORT TO YOU: N/A

EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum 37.5 hours/week)

GENERAL SUMMARY:

The International Parkinson and Movement Disorder Society is a non-profit medical professional society of influential clinicians, scientists, and other healthcare professionals from around the world dedicated to improving the care of patients with Parkinson’s and movement disorders through education and research. This position works closely with the Assistant Director of Meetings of MDS and other members of the meetings team, managing special projects for MDS’s annual International Congress as well as the AOPMC and PAS Congress.

POSITION RESPONSIBILITIES: (Minimum of 37.5 hours per week)

  • Manage all aspects of abstract submission, review, on-site/presenter logistics, and vendor communications for all Congresses. This includes coordinating Guided Poster Tours, Oral Platform Presentations and any other projects related to abstracts/posters.
  • Manage all aspects of the MDS Talks included with the MDS Theatre at the International Congress. This includes collaborating with the Development team to incorporate Innovation Showcases and any other sponsor deliverables.
  • Coordinate and organize department procedures for all meetings. Collaborate with other members of the Meetings team to gather information and update procedure and leadership manuals as needed.
  • Special session implementation which would include coordinating top abstracts, clinical video cases, patient participation for all Congresses.
  • Regularly review all Congress websites and submit content and updates as needed to the Marketing and Communications team.
  • Assist with Virtual platform as needed for the International Congress (Registration or any general information content that is required)
  • Manage any Task Forces or Study Groups as assigned by the Administrative Team
  • Review and proofing of communications and marketing pieces (broadcast emails, programs) as needed for all Congresses.
  • Other duties as assigned

AMOUNT OF TRAVEL REQUIRED:

Three to four weeks per year; some early morning/evening and weekend work required.

EQUIPMENT USED:

Office 356, Teams, Microsoft Excel, Word, iMIS membership database, IBM PC with Windows environment. All other office equipment (fax, copiers, etc.)

EDUCATION REQUIRED:

Bachelor’s degree preferred.

PROFESSIONAL EXPERIENCE AND SKILLS REQUIRED:

Work experience in an office environment with demonstrated project management skills, excellent oral and written communication skills, and experience with multiple task management. Also prefer a background in meetings or special event coordination.

PHYSICAL REQUIREMENTS (example – lifting, packaging, etc.):

Some packaging and lifting up to 50 pounds. Ability to move quickly within International Congress facilities.

*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
