CLIENT ASSOCIATION(s): Chinese American Hematologist & Oncologist Network (CAHON) and International Zebrafish Society (IZFS)

POSITION REPORTS TO: Executive Director

DIRECT REPORTS: None

EMPLOYEE STATUS: Exempt (Minimum of 37.5 hours/week total)

ROLE TYPE/LEVEL: Mid-Level (Non-Supervisory)

CAHON CLIENT/DEPARTMENT OVERVIEW:

Founded by Chinese American Hematologists and Oncologists in 2005, CAHON is dedicated to fostering communications among Chinese American medical professionals for the delivery of high-quality health care to patients with neoplastic and hematological diseases, and to promoting the exchange of medical information between the United States and China in the fields of hematology and oncology.

JOB OVERVIEW:

This position works closely with the Executive Director and Meetings & Development Manager to ensure successful marketing, communication, and supporting the implementation of client meetings, webinars and membership initiatives. Provide administrative support as needed to aid in the achievement of client objectives.

POSITION RESPONSIBILITIES:

Responsibilities include but are not limited to:

  • Manage and implement CAHON Communications Calendar for all CAHON activities and announcements including website updates, emails and social media presence;
  • Manage the quarterly CAHON Newsletter;
  • Manage annual award and election processes;
  • Manage general voicemails and info@ email account and respond to inquiries related to events, job postings and membership;
  • Process invoices, award and grant payments;
  • Manage membership process including database updates and tracking;
  • Serve as staff liaison to committees as assigned, including scheduling conference calls, coordinating meeting materials, writing and distributing minutes, etc.;
  • Work as part of the CAHON team in the overall management of the Network;
  • Other duties as assigned.

IZFS CLIENT/DEPARTMENT OVERVIEW:

Founded in 2015, The International Zebrafish Society (IZFS) is a 501(c)(3) non-profit organization serving over 1,000 members. IZFS aims to promote international cohesion and cooperation in zebrafish research through educational initiatives, programs and forums. It further strives to advocate for zebrafish research and represent the interest of the international community in efforts to better human health.

JOB OVERVIEW:

This position works closely with the Assistant Director of Administration & Meetings to ensure successful marketing, communication, and supporting the implementation of client conferences, meetings and webinars. Provide administrative support as needed to various committees/work groups to aid in the achievement of objectives, including taking and distributing minutes.

SKILLS AND QUALIFICATIONS:

Excellent organizational and communication skills. Team player. Ability to prioritize varied assignments and handle multiple projects. Proficiency in Word, PowerPoint. Knowledge of Excel, iMIS and Microsoft Outlook.

EDUCATION/EXPERIENCE:

Bachelor’s Degree. Proficiency in Word, PowerPoint. Knowledge of Excel, iMIS and Microsoft Outlook. 2-3 years of experience preferred. Familiarity with nonprofit organizations a plus.

TRAVEL REQUIRED:

3-4 weeks per year, including weekends.

WORK ENVIRONMENT:

This is a full-time position located in our office in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.

PHYSICAL REQUIREMENTS:

Minimal lifting required – usually at meetings. Ability to move quickly within meeting facilities.

ADDITIONAL INFORMATION:

Some evening, early morning and weekend work, as needed.
