CLIENT/DEPARTMENT OVERVIEW:
The Society for Immunotherapy of Cancer (SITC) is a non-profit medical professional society of influential scientists, academicians, researchers, clinicians, government representatives, and industry leaders from around the world dedicated to improving patient outcomes by advancing the science and application of cancer immunotherapy.
JOB OVERVIEW:
The Senior Program Manager, reporting to the society Director of Education, Aides in the successful implementation of the educational and training programs of the Society for our external stakeholders with an emphasis on the management of the Society’s educational programs for early career scientists. Primary areas of responsibility include supervision of education staff involved in the planning, design, implementation and reporting of external stakeholder educational activities; assisting in the strategic development of these educational activities; working with program organizers and collaborative partners to develop program outlines and timelines; ensuring appropriate evaluation data collection and serving as a primary knowledge base about these programs.
POSITION RESPONSIBILITIES (minimum of 37.5 hours/week):
- Serve as the primary staff liaison to appropriate SITC education and/or organizing committees
- In partnership with the appropriate organizing committees, volunteer leaders, collaborative partners, and relative staff, develop appropriate educational program proposals
- Under the guidance of the Director of Education, determine overall policies, procedures and schedules for live educational programs in areas of responsibility
- Responsible for development of program overview, objectives and goals for each activity to ensure they are consistent with the society’s overall education strategy
- Oversee the selection of appropriate delivery formats and technologies as well as faculty selection, correspondence and tracking and compliance
- Oversee professional correspondence with faculty, participants, and stakeholders, ensuring timely, and accurate communication throughout all program phases
- Oversee and review necessary meeting materials
- Serve as a resource for program organizers and faculty and for external inquiries about educational programs in area of responsibility
- Work with the Communications team to develop effective marketing and communications strategy for program promotion and audience generation
- Review marketing materials and refine promotional materials, ensuring consistent and accurate messaging of educational content and faculty information
- Oversee the development and distribution of necessary meeting materials
- Work with the Online Education team to ensure development of enduring educational products from live events including, but not limited to, session recordings, posted slide sets, manuscripts, etc.
- Manage the implementation and reporting of educational activity evaluations and other outcomes measurement requirements, utilizing appropriate learning measurement tools and success metrics for effective program evaluation
- Work with development team to provide necessary info for outcome reporting for each program
- Maintain compliance with any relevant accreditation guidelines, funder LOAs and those of other international CME providers through the application of appropriate design, methodology and assessment models (ACCME, PhRMA, etc.). This includes ensuring conflict of interest identification and resolution is documented and followed for all activities in area of responsibility
- Work with the Development team to secure needed funding for programs including providing required program information, attendee data, grant compliance and reconciliation requirements
- Develop and manage the overall program-specific budgets
- Supervise live education staff involved in the planning, design, implementation and reporting of internal stakeholder educational activities
- Oversee each specific program reimbursements and review all communication to faculty and participants
- Contribute to process improvement and documentation initiatives to enhance efficiency and consistency across educational programs
- Attending live meetings to manage onsite activities, as needed
- Attend and facilitate virtual programs, as needed
- Other duties as assigned.
SKILLS AND QUALIFICATIONS:
- Qualifications – Outstanding organizational, interpersonal and communications skills.
- Computer proficiency and ability to manage and prioritize multiple projects and timelines essential.
- Professional demeanor and acute attention to detail with high accuracy on outputs.
- Able to work successfully in a team environment.
- Familiarity with curriculum development and adult learning principles a plus.
- Familiarity with using databases for tracking and reporting, web-meeting services, online grant and application management systems (e.g. Proposal Central), and learning management systems technologies a plus.
EDUCATION/EXPERIENCE:
- Education – Bachelor’s Degree preferred
- Experience – Previous association management experience and familiarity with nonprofit boards of directors a plus.
- Supervisorial experience preferred.
TRAVEL REQUIRED:
Attendance at the annual meeting is required.
Travel on occasion to live programs when needed.
WORK ENVIRONMENT:
This is a full-time position located in our office in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
ADDITIONAL INFORMATION:
Early morning, evening and weekend work may be required to meet client needs when needed.
