EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum 37.5 hrs/wk)
GENERAL SUMMARY:
The Senior Marketing & Communications Manager oversees and coordinates all staff functions of the Academy’s marketing & communications team. In addition, the senior manager will serve as the key marketing & communications partner on a variety of strategic initiatives aimed at effectively articulating the Academy’s mission, advocacy efforts, educational offerings and other resources to key audiences, including our membership, general public, potential donors, and collaborators.
POSITION RESPONSIBILITIES: (Minimum 37.5 hrs/wk)
- Develop a comprehensive annual MarCom plan for the various Academy programs and initiatives to advance AAEM’s interests in the areas of audience generation, membership recruitment, outreach activities, policy initiatives, scientific publications, and effective fundraising messaging. Includes identifying target audiences for variety of projects, events, and publications.
- Direct and oversee the development and management of detailed timelines, innovative tactics, defined budgets, key desired deliverables and specific metrics for evaluating success of campaign(s). Regularly report on these findings as well as make recommendations for short and long-term communications and membership strategy changes.
- Oversee development and maintaining AAEM’s brand voice.
- Direct and oversee media relations strategies and tactics including development of appropriate campaigns, creation of press releases and press kits, media spokespeople training, pitching stories, and building relationships with members of the media.
- Provide high-level writing and communications support with media responses, presentations, editorials, and interviews to the President, Board of Directors, Executive Staff and others.
- Effectively lead, mentor and oversee the marketing and communications team. Direct and coordinate their efforts on behalf of the society and ensure cross-team implementation of key messaging in appropriate areas.
- Develop core copy and branding for section and chapter division activities and help identify appropriate audiences and marketing channels in conjunction with volunteer leaders.
- Oversee the full spectrum of AAEM’s digital communication outlets including websites, social media and other electronic communication platforms and oversee staff efforts in creation of content and updating of website, development and distribution of electronic newsletters, blogs, podcasts and utilization of other online tools, as needed.
- Develop and ensure the implementation of necessary corporate communications standards, communications procedures, policies and regulations for the Academy.
- Ensure AAEM’s communications are disseminated to key partners for them to promote on their channels.
- Develop and monitor budgets as well as provide appropriate tracking and trending reports in areas of responsibility.
- Oversee the creation, design, and scheduling of email messages. Manage the weekly AAEM Insights eNewsletter and advertising approvals.
- Oversee general copyright requests and have an in-depth understanding of use of copyrighted materials in communications.
- Work in collaboration with The Journal of Emergency Medicine in cross-promotional efforts.
- Oversee Common Sense and increase advertising partners, AAEM’s member magazine.
- Oversee third party vendor relationships and contracts as it relates to the communications and marketing efforts.
- Stay updated on new technologies, best practices and industry trends within areas of responsibility.
- Oversee the Academy’s GDPR and other privacy policy-related management and inventory.
- Provide support to the Executive Director as needed.
- Other duties as assigned.
EDUCATION/EXPERIENCE REQUIRED:
- Bachelor’s or Master’s degree in related field preferred
- Requires outstanding organizational, time management, communication and accuracy skills
- Prior experience working with volunteer-led organizations preferred
- Previous association management experience and familiarity with nonprofit boards of directors a plus
- Proficient in MS Office environment required and iMIS database experience preferred
- A self-reliant, problem-solving, results-oriented individual who can positively and productively impact both strategic and tactical operations
- Exceptional written, oral and interpersonal skills and the ability to work within a matrixed environment (with volunteer leaders, management and across departments)
- Ability to manage and prioritize multiple projects and timelines in a fast-paced environment
- Ability to supervise staff effectively including appropriate coaching and mentoring
BUSINESS NEEDS & TRAVEL REQUIRED:
Some early morning, evening and weekend work may be required in our home office and while traveling out-of-town to meet client needs. Travel will be two to four weeks per year.
PHYSICAL REQUIREMENTS:
Occasional lifting of 20-30 pounds of boxed publications.
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office are a requirement of the role.
