The Accounting Assistant serves as the main contact for agency representatives, providing exceptional customer services such as order payment processing/review, fielding questions/inquiries, and others to agencies. Other responsibilities include resolving financial transaction issues, processing Finance mail and cash receipts, inputting accurate and timely receipt and grant transactions into Primarius 2, monitoring agency accounts and ensuring payments are properly applied to orders, completing, reconciling and distributing daily, monthly and year-end reports, processing invoices and making vendor payments, serving as the receptionist during second half of each day, and performing other duties as needed.


  • Staff and operate Finance Department window.
  • Receive, open and distribute mail.
  • Process daily receipts (checks, cash, and CC), and prepare and reconcile daily receipts report.
  • Monitor and maintain agency billing accounts to ensure current status.
  • Provide exceptional customer service to agencies regarding orders, billing, and grants.
  • Prepare daily close-out and month-end reports.
  • Prepare and distribute monthly distribution reports including monthly agency and manual invoices.
  • Assist with ordering office supplies.
  • Assist with ensuring that grants are properly and timely monitored and updated (creating new grants, adjusting grant balances for expenses and order purchases, etc.).
  • Assist with AP/AR and other general accounting functions.
  • Answer afternoon incoming calls and direct call to applicable FAEW staff (provide resolution to phone inquiries if needed).
  • Other duties and responsibilities as assigned.


  • Commitment to understand and support FAEW’s mission, vision, and effective actions to end food insecurity and its causes
  • Respect for the people FAEW serves and commitment to learn the causes of their food insecurity and need
  • A minimum two years’ experience in an office setting with some bookkeeping/accounting experience, preferred
  • Two-year college degree in business or related field, preferred
  • Exceptional customer service skills and ability to handle difficult situations.
  • Strong numerical abilities and attention to detail.
  • Proficiency with Microsoft Office Suite.
  • Understanding of accounting reconciliation process.
  • Ability to work at a fast pace with a high level of accuracy and attention to detail.
  • Ability to handle multiple projects simultaneously.
  • Ability to maintain confidentiality of sensitive information.
  • Understanding of agency eligibility and the inventory process.
  • Ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be open-minded of differing opinions and views.


While performing the duties of this job, the employee is frequently required to sit, talk and/or hear, and/or use hands to finger, handle, or touch objects, tools, or controls. The employee is occasionally required to stand, and/or walk. The employee must occasionally lift and/or move up to 10 pounds while moving files or small packages. Specific vision abilities required by this job include close vision and the ability to adjust focus.
