The Philanthropy Administrative Coordinator plays a central role in supporting the JCC’s fundraising operations and donor stewardship. This role is ideal for a self-directed, detail-oriented professional who excels at independent technical work but also values being part of a seasoned, collaborative team.

Reporting to the Chief Philanthropy Officer, you will manage the lifecycle of donor data, from ensuring online donations sync correctly with our database to processing formal acknowledgments and coordinating large-scale mailings. You will provide the essential oversight and precision that ensures our records are meticulous and our donors are held in the highest regard.

Primary Responsibilities
Gift Processing & Data Integrity

  • Database Management: Manage all aspects of the donor CRM, including manual gift entry for checks, wires, and donor-advised funds.

  • Systems Integration: Monitor the sync between online giving platforms and the internal database, identifying and resolving errors to ensure accurate record-keeping.

  • Data Hygiene: Maintain account and contact records, ensuring data is clean, duplicates are merged, and gift attribution is seamless.

  • Finance Collaboration: Work closely with the Finance department to ensure donations are directed to the correct budgets and reconciled monthly.

Donor Experience & Stewardship

  • Correspondence: Manage all formal acknowledgments, including high-quality mail-merge letters and handwriting personal cards as needed.

  • Tribute Program: Oversee the tribute program, managing donor/volunteer relations and notifying families of memorial or honorary gifts.

  • Professional Etiquette: Act as a professional point of contact for donors and budget leaders, maintaining a high standard of business communication.

Campaigns & Operations

  • Project Coordination: Support large fundraising campaigns by preparing mailing lists, managing mail merges, and ensuring timely delivery of physical appeals.

  • Reporting: Provide regular and ad-hoc financial and analytical reports to the Philanthropy team and JCC leadership to track progress and retention.

  • Team Support: Act as a resource for a seasoned team of professionals, assisting with special events such as our annual gala (KidShare). 

  • Manager on Duty (MOD): Serve as MOD 3–4 weekends per year.

Qualifications

  • Education: Bachelor’s degree in communications, marketing, or a related field; or an equivalent combination of work experience and/or education.

  • Experience: 1–2 years in philanthropy, communications, or project coordination. Professional experience in the non-profit sector is preferred.

  • Technical Skills: Proficient in Microsoft Office Suite and experienced in using CRM/fundraising databases. Ability to learn new software platforms quickly is essential.

  • Mindset: A “meticulous” eye for detail and an inquisitive nature—you don’t just pull data; you ensure its accuracy and completeness.

  • Adaptability: Ability to receive direction from multiple team members and thrive in a fast-paced environment while working independently.
