Position Summary
Milwaukee Ballet is a premiere arts organization serving the Milwaukee community through world-class professional performances, dance education, and outreach initiatives. Education programming is offered through the Milwaukee Ballet School & Academy (MBSA) and Community Engagement (CE).
The Education Administrator will serve an important role providing administrative support for MBSA and CE educational program operations. Reporting to the School & Academy Director, they will work directly with the Community Engagement Manager and MBSA staff while collaborating with other internal departments. The ideal candidate will be a passionate advocate for the arts, highly organized, efficient, driven, and able to thrive in a fast-paced environment.
This is a full-time position with benefits and a salary of $40,000 annually. The primary work schedule will be during office hours Monday-Friday, 9:00 AM to 5:00 PM, but may be adjusted to accommodate some evening or weekend hours during events, programs, or productions.
Responsibilities
Administrative
- Provide general administrative support to MBSA and CE management.
- Assist with general office administration including supply management, coordination of staff meetings and events, maintenance of calendars, meeting minutes, building tours, etc.
- Assist with logistics for on- and off-site education programs or events by working with other departments and outside vendors. Logistical needs include scheduling, staffing, ticketing, support requests, information dissemination, and transportation coordination.
- Provide excellent customer service and assistance to students and families, program participants, and partners through email and phone communication.
- Assist with registrations; administer registrations for CE program participants and provide support to the MBSA Registrar as needed.
- Provide support related to communication and marketing for MBSA and CE by assisting with gathering information, reviewing assets and copy, communicating needs and deadlines, etc.
- Oversee department data by collecting, maintaining, and organizing information used for reporting, procedure records, assessments, evaluations, and archives.
- Assist with payroll processes for non-exempt staff, faculty, accompanists, and other contracted staff/artists. This may include assistance with time tracking, reviewing of scheduled hours, and supporting higher-level management with approval processing.
- Support budget maintenance through expenditure tracking, processing of invoices and expense reports, invoice distribution, and payment collection.
- Facilitate and oversee background checks and requirements for education staff and faculty.
- Coordinate uniform needs for CE programs and administer MBSA uniform donation opportunities.
- Oversee studio and building calendars to ensure information is up-to-date and communicated across departments.
- Assist with retail orders, including collaborating with Boutique Manager on school- or program-specific apparel, merchandise, and pre-sale opportunities.
- Serve as a Milwaukee Ballet representative and point-of-contact for students, families, donors, subscribers, and guests during events, programs, and performances.
- Provide administrative support to the MBSA and CE Board Committees by scheduling meetings, managing correspondence, tracking attendance, facilitating meeting minutes, etc.
- Support MBSA and CE teams with events, shows, auditions, cast fittings, open houses, and other special projects.
- Other duties as assigned.
Background & Qualifications
- Post-secondary education preferred or equivalent work experience in a related field.
- Minimum 2-3 years’ work experience, preferably in non-profit, administration, education, or the arts; dance or ballet education is a benefit.
- Excellent organizational skills; ability to multi-task and prioritize efficiently.
- Project management skills with experience working in a fast-paced, multi-faceted environment.
- Strong communication skills and ability to build interpersonal relationships.
- Skilled in Microsoft Office Suite, including Excel, and Outlook; experience utilizing CRM and database management is a plus.
- Bilingual in English and Spanish is an advantage.
- Must be willing to work in a flexible working environment including weekend and/or evening hours during performances, programs, or events.
- All qualified candidates must be 18 years or older and pass an extensive background check.
