JOB PURPOSE AND REPORTING STRUCTURE: Under the direction of the Senior Education Manager, the Education Coordinator assists in the planning, development, and implementation of all education programs, and administers programs, finances, and statistical data for a variety of education and community engagement offerings. This includes, but is not limited to, Arts in Community Education, Concerts for Schools, Family Concerts, youth concerto competitions, Lullaby Project, Meet the Music/Talkback presentations, and other related programming. The Education Coordinator is a first point of contact for many constituents and contributes to fulfilling the institution’s mission through excellent customer service and communication.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

ACE:

  • Assist in daily administration of elementary ACE program, as directed by the Director of Education, including managing ACE ensemble visit schedule, email communications, and issuing and tracking contracts, forms, and other required information.
  • Ensure ACE materials, contact lists, and forms are kept up to date.
  • Coordinate, manage, and supervise annual auditions for young student violinists to perform Bach’s Double Violin Concerto on the ACE Third Grade concert.
  • Create seating charts for ACE concerts, and coordinate ACE concert bus mailing.
  • Assist with planning and implementation of teacher professional development.
  • Work front of house for all ACE concerts.
  • Administer ACE Facebook page.

Concerts for Schools:

  • Be the first contact for all related customer service and communications, including ticket order processing, school invoice generation, and payment collection.
  • Create, coordinate, distribute and implement busing and seating information for all schools attending Concerts for Schools before the concerts and day of, including supervising and guiding volunteers front of house.

Competitions:

  • With the Education team, assist in coordinating, managing, and supervising annual Stars of Tomorrow auditions for high school musicians, the Bach Double Young Violinist Competition, and the biennial Wisconsin Youth Piano Competition.

Family Series:

  • At the discretion of the Sr. Education Manager, assist in supervising and guiding  pre-concert activities on concert days.

General:

  • Implement correspondence and mailings for all department programs. Maintain an updated mailing list of Wisconsin schools and personnel.
  • Code and submit bills to finance department in timely manner.
  • Maintain files and computer databases for department program information, statistics, and materials.
  • Assist with producing all education department printed materials (including educational guides, audio guides, transportation information, docent preparation materials, concert programs and evaluation forms).
  • Work with and supervise volunteers to assist with department projects as requested.
  • Provide information to Advancement staff for grant proposals and implementing grants, as requested.
  • Other duties as assigned.
