Executive Assistant (Part-Time, ~20 hrs/week to start)

Location: Fox Point, WI | In-Person

Compensation: $18–$25 per hour, depending on experience

Position Overview

Seeking a highly organized, proactive, and tech-savvy Executive Assistant to support a mission-driven nonprofit leader. This role is best for someone who enjoys keeping details in order, building simple systems that make work flow smoothly, and ensuring priorities move forward. The position will start at approximately 20 hours per week with the potential to grow into full-time.

Key Responsibilities

Administrative & Executive Support

  • Manage and maintain a dynamic calendar; schedule meetings and appointments
  • Track tasks, deadlines, and follow-ups to ensure nothing falls through the cracks
  • Draft emails, organize documents, and help with communications and correspondence
  • Maintain clear internal systems, digital files, and shared documents
  • Handle confidential and sensitive information professionally

Program & Project Support

  • Provide administrative support for UMatter programs (scheduling, communications, tracking materials, follow-up)
  • Assist with organizing and tracking items for the silent auction (logging items, donor correspondence, packaging, and event-week support)
  • Help keep planning steps for annual Bike4Friendship organized (checklists, timelines, communications support)

Note: This role supports events and programs by keeping details and tasks organized. It is not an event-manager role.

Qualifications

  • Previous experience in administrative support or executive assistance preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and stay on top of follow-through
  • Clear and professional written and verbal communication
  • Comfortable and confident with technology
  • Proactive, reliable, steady under pressure, and able to anticipate needs
  • Alignment with the mission of inclusion, community, and positive impact
