The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for UW-Madison, is recruiting for a Director of Data Management. The Director of Data Management leads a team responsible for the integrity, quality, and efficiency of constituent data in our Salesforce CRM, supporting alumni, donor, and patient engagement and fundraising. This role also oversees the management of WFAA’s enterprise document management system. The Director drives operational improvements through technology, automation, and data governance, collaborating with technical and business teams to maximize data value and compliance.

Please note: We prefer to hire this position in a hybrid capacity with a candidate living near the Madison WI area to work in the office a few times monthly. However, we are open to hiring remotely for a candidate with a strong level of experience. Remote candidates must reside in the following states: Arizona, Colorado, Illinois, Iowa, Kentucky, Minnesota, Nebraska, New Mexico, New York, Texas, and Wisconsin.

The Wisconsin Foundation and Alumni Association is a private, nonprofit corporation that encourages individuals and organizations to make gifts to the university and to connect with the UW. In 2014, the UW Foundation merged with the Wisconsin Alumni Association® to better serve a growing population of UW alumni and donors. We believe that private support grows out of good relationships between campus leaders, faculty, and program staff who need support, and the alumni and friends who want to invest in UW–Madison. Essential Functions

  • Lead, mentor, and develop a team of six data management professionals, and two records management professionals.
  • Oversee and optimize processes for creating and maintaining CRM records and demographic information, leveraging technology and automation tools.
  • Lead the team’s customer service strategy, with customers ranging from key business stakeholders, WFAA and campus staff, campus partners, and external constituents.
  • Oversee data management process and policy development, maintenance and improvements.
  • Implement and maintain data enrichment solutions, data auditing and validation practices, and related reporting solutions to improve data coverage and quality.
  • Contribute to establishing a comprehensive data governance program, ensuring compliance with privacy regulations and organizational policies.
  • Collaborate with technology teams to ensure the CRM processes and constituent data integrations are working effectively and efficiently.
  • Oversee requirements gathering, testing, training, documentation and communication for any new system features or reports developed for constituent data.
  • Partner with stakeholder business teams who rely on constituent data, ensuring data management practices are aligned with overall business goals and strategies
  • Oversee and optimize processes for creating, maintaining and destroying enterprise documents, following document retention policies and best practices.
  • Develop and maintain team productivity metrics, SLAs and KPIs, reporting out to key stakeholders

Qualifications

Required Qualifications:

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • 5+ years of experience in CRM data management.
  • 2+ years of experience managing or leading staff.
  • Proven experience with high-volume data processing and data quality operations in a CRM environment.
  • Working knowledge of CRM data applications, automation tools (e.g. Salesforce Flows, integrations), and reporting tools.
  • Experience implementing process automation, data enrichment, and validation tools for large datasets.
  • Experience with customer service ticketing/help desk systems, such as ZenDesk, Salesforce Cases, etc.
  • Strong interpersonal and relationship management skills.
  • Working knowledge of privacy regulations (e.g., GDPR, HIPAA) and compliance requirements.
  • Experience with third-party data enrichment solutions.
  • Familiarity with project management best practices.
  • Familiarity with document retention and destruction, scanning and Optical Character Recognition (OCR) processes, and the use of electronic records management tools.

Other Qualifications:

  • Familiarity or experience with Salesforce CRM, Data Loader, DemandTools, SQL, Python, Apex, Apsona, etc.
  • Experience with fundraising, alumni engagement, or healthcare data.
  • Experience with technology change controls and best practices
  • Strong leadership and stakeholder management skills.
  • Strong understanding of data governance frameworks and best practices.
