Position Type: Part-Time (4 hours/week; approx. 208 hours annually)

Compensation: $25 – 30/hour

Work Arrangement: Primarily in-person at the Whitefish Bay office. Limited remote/hybrid work may be considered after onboarding.

Position Summary

REDgen seeks a detail-oriented, dependable Finance & Operations Coordinator to provide financial and operational support for our growing nonprofit. The coordinator oversees bookkeeping, grant financial tracking, invoicing, cash flow monitoring, nonprofit compliance, and operational support, keeping the organization running efficiently and allowing the Executive Director to focus on fundraising, partnerships, programs, and organizational leadership. This position does not prepare or file organizational income tax returns but maintains accurate records and year-end documentation for the outside accountant. This position is ideal for an experienced nonprofit bookkeeper, retired finance professional, or accounting specialist seeking flexible, meaningful part-time work while making a lasting impact on youth mental health and suicide prevention.

Financial Management

  • Reconcile monthly bank and credit card accounts in QuickBooks Online.
  • Record and categorize income and expenses.
  • Allocate expenses to correct restricted/unrestricted funds.
  • Maintain grant-specific accounting.
  • Monitor cash flow.
  • Maintain financial records.

Accounts Receivable & Payables

  • Invoice school chapters.
  • Track payments and receivables.
  • Process approved vendor payments.

Grant Financial Administration

  • Track expenditures by grant.
  • Assist with grant financial reports.
  • Maintain supporting documentation.

Board & Executive Support

  • Prepare monthly board financials.
  • Assist with budget preparation.
  • Provide financial information to the Executive Director.

Operations & Compliance

  • Prepare required Wisconsin nonprofit registrations and reports.
  • Maintain insurance policies and renewals.
  • Process employee mileage and reimbursements.
  • Maintain paper and electronic files, receipts, contracts, and grant documentation.
  • Support year-end preparation for the outside accountant (no tax return preparation).
  • Maintain financial procedures and recommend process improvements.
  • Maintain organization’s operational manual

Required Qualifications

  • Associate degree (minimum two-year degree) in Accounting, Business Administration, Finance, Bookkeeping, or related field.
  • Three years bookkeeping/accounting/nonprofit finance experience.
  • QuickBooks Online experience.
  • Understanding of nonprofit restricted/unrestricted funds.
  • Grant expense tracking.
  • Excellent organization and attention to detail.
  • Microsoft Office and Google Workspace proficiency.
  • Strong communication skills.
  • High integrity and confidentiality.

Preferred Qualifications

  • Experience in a nonprofit organization.
  • Knowledge of Wisconsin nonprofit reporting.
  • Experience preparing board financial reports.
  • Knowledge of budgeting and cash flow.
  • Experience maintaining office systems and records.
  • Working knowledge of printers, scanners, monitors, copiers, and basic office technology troubleshooting.
