Primary Location: Administration, 909 E. North Avenue, Milwaukee 53212

Pay: $59,500

Summary: The Data Specialist plays a key role in supporting the operational and strategic goals of the organization by managing all aspects of the donor database and the donation process. This position also ensures the accuracy and integrity of data used in reporting.

As an integral member of the Development Team, the Data Specialist will support the planning and implementation of the annual Development strategy in other capacities as needed.

Main Job Responsibilities

Donor Database

  • Enter new donations daily
  • Prepare personalized and properly formatted acknowledgement letters twice weekly, file copies of signed letters
  • Pull gift reports from donor and foundation portals
  • Provide detailed daily reports to Finance
  • Ensure accuracy of donor profiles, including groups
  • Keep accurate records aligned with department and organization protocols
  • Follow best practice to ensure the integrity of the donor database and adhere to legal requirements

Campaigns & Special Projects

  • Lead the behind-the-scenes coordination of the recurring donor program
  • Prepare segmented mailing lists for annual and other campaigns
  • Generate quarterly email address report to cross-reference with e-newsletter distribution list
  • As time allows, verify and enter historical donor data into the database
  • Support the overall function of the Development department during special events, volunteer service, and other activities that forward the mission of the organization

Stakeholder Reporting

  • Immediately alert the Executive Director to first time or significantly increased donations and other meaningful donor trends
  • Generate dashboards and reports for the Executive Director, Development Director, Development Committee, Board of Directors, and others as requested
  • Track and report out on pre-identified group giving and stakeholder connections
  • Provide accurate donor data for the annual report

Qualifications

Education/Knowledge/Experience

  • Minimum of 2 years of experience in nonprofit data management and reporting required.
  • Associate’s degree preferred.
  • Proven knowledge of nonprofit development and philanthropy preferred.
  • Experience working collaboratively with a diverse population preferred.
  • High proficiency in Microsoft Office suite, required. Experience with Google Drive suite preferred.

Physical Requirements I Working Conditions

The physical requirements for this position are the ability to:

  • Climb stairs.
  • Sit and stand for long periods of time
  • Work with and in front of a computer for extended periods of time

The work environment is mainly a collaborative office environment. This position also requires occasional evening and weekend work.
