Part-time Office Assistant
The first church formed in Milwaukee (1837), Immanuel Presbyterian Church will mark its 190th anniversary in 2027. The congregation of 600+ members and friends comes from the greater metropolitan area, worshiping both in person and via live stream every Sunday morning at 10:00 am. Seeking to “transform tradition,” Immanuel Church’s ministry priorities include social justice, diversity, inclusivity, hospitality, engaging worship, community outreach, and education for all ages.
POSITION SUMMARY: This is a part-time (20-25 hour/week) position providing administrative support for the pastoral staff and operational support for the ministries of Immanuel Presbyterian Church, interfacing with members, visitors and guests. This position requires strong organizational skills, excellent communication abilities, and an understanding of the church’s mission and values.PURPOSE: To provide administrative and secretarial support to the Immanuel Church Office staff, pastors and congregational leaders.
REPORTS TO: The Co-pastors and the Human Resources Committee of Session (church board), provides support to and receives direction from the Office Administrator.
KEY RESPONSIBILITIES: Includes the following, other duties may be assigned.
- Manage church membership records: Make additions, deletions and updates to the church rolls and church directory as directed by the Office Administrator, pastor(s) and/or Session Clerk; prepare annual PC(USA) statistical report
- Volunteer recruitment: Assist with weekly volunteer recruitment, coordination and communication related to Welcome team, ushers, coffee hour hosts, Christian Education, Deacons, and Parish Life Council, may also include creating and monitoring regular event “sign-up” sheets
- Flower coordination: Maintain Chancel flower donation schedule and order flowers
- Communication: Assist the Office Administrator in the weekly preparation of church bulletins, announcements, website updates, information flyers, annual financial and congregational meeting reports, and other print materials as needed
- General Office Support:
- Support a welcoming and organized office environment
- Answer phone calls, emails, and correspondence as needed, directing inquiries as necessary
- Attend weekly all-staff meetings as available
- Assist the Office Administrator in facilitating communication between staff, congregation members, volunteers, and community partners
- Ensure confidentiality of sensitive information
BENEFITS & EVALUATION:
- Part-time staff working at least 20 hours per week accrue paid time off (PTO) on a pro-rated basis according to Immanuel’s PTO Policy.
- Performance reviews will be conducted annually by the co-pastors/heads of staff and the Session Human Resources Committee. The latter will also annually review the adequacy of compensation and benefits.
QUALIFICATIONS:
- High school diploma or equivalent; associate degree or higher preferred
- Experience in an office setting appreciated.
- Proficient in Microsoft Office Suite, Google Drive and Docs, and experience with website software is a plus.
- Strong interpersonal skills; must respect diversity of church membership and community organizations including age, gender identification, socio-economic status, sexual orientation, ethnicity.
- Excellent organizational and time-management skills.
- A strong commitment to the mission and values of the Presbyterian Church (U.S.A.)
PHYSICAL REQUIREMENTS:
- Ability to sit for extended periods and perform tasks on a computer
- Occasional lifting of up to 30 pounds may be required
