Job Purpose:

Coordinate the accounts payable function to ensure timely payments to vendors. This includes: processing, tracking and scheduling payments, ensuring proper documentation and signatures are included before payments are processed, fiscal policies & procedures are followed as they relate to the accounts payable functions, contacting management and staff to resolve issues or to request additional information,  the printing and mailing of checks, and maintaining the AP files and records. Pay will be based on experience.

Essential Duties:

       Accounts Payable       

  • Receive and process incoming invoices received by mail & email.
  • Monitor payments, log all incoming invoices, purchase orders & receiving reports.
  • Input into accounting system by printing and compiling all source documents which includes invoices, receiving reports/emails, purchase requisitions, and supporting documentation.
  • Process check requests.
  • Coordinate Special check runs.
  • Compare monthly activity statements to payments made to ensure timely payment and that all invoices have been received.
  • Communicate with vendors and staff to investigate and resolve various payment issues or missing invoices and documentation.
  • Respond to all vendor inquiries.
  • Reconcile vendor statements, research and correct discrepencies.
  • Prepare payments for input into accounting system by printing and compiling all source documents which includes invoices, receiving reports/emails, purchase requisitions, and supporting documentation.
  • Match invoices to checks, obtain all signatures for checks and distribute checks accordingly.
    • Ensure that AP policies and procedures are met before payments are recorded.
    • Assit with month and year end close.
    • Assist with other projects as assigned.

Skills/qualifications:

  • Excellent computer and data entry skills. Experience with Microsoft office applications with the ability to design complex spreadsheets, automated payroll and time keeping systems, and general ledger accounting software. Accuracy and attention to detail are necessary.
  • Must be well organized and able to prioritize workload.
  • Good verbal and written communication skills with the ability to compose business quality emails. Ability to communicate with a variety of internal and external contacts within all levels of organizations.
  • Ability to work with and maintain sensitive and confidential information.

Experience/Education/Training/Certifications:

  • Two to four years of experience in accounts payable.
  • Associate’s Degree in accounting or related field or three years related experience in accounts payable.

Preferred:

  • Work experience in Government or Non-Profit organization
  • Experience managing and or coordinating payroll for company with 100+ employees

During the performance of his/her duties, the incumbent will regularly lift up to 25 pounds and occasionally up to 50 pounds.
